How to Reduce PDF File Size: Make a PDF Smaller on Any Device

Published by PDFToolz · Updated · Technical references listed below

To reduce a PDF's file size, run it through a PDF compressor. It shrinks the photos and scanned pages inside the file, which take up most of the space, and rewrites the file structure more compactly. For a free option, open PDFToolz Compress PDF, keep the Recommended level, press Compress PDF and download the smaller copy. If the file must fit a limit such as 1 MB, use Compress PDF to Size instead.

This guide explains why PDFs get large, then covers each way to make one smaller, whether online, on a Mac, on Windows, on iPhone and Android, by converting to grayscale or by removing pages. A table at the end shows what each method saves and what it costs in quality.

Why PDF files get so large

Text costs very little in a PDF. A hundred pages of plain text can be a few hundred kilobytes. What makes PDFs big is almost always images, and a scanned document is nothing but images, one full-page picture per page.

Fonts and leftover data add the rest. Most PDFs embed their fonts so the text looks the same everywhere. Usually only the characters used are embedded, but a full font, especially one for Asian scripts, can add megabytes. Files edited many times can also carry old versions of pages, because each save may append changes instead of rewriting the file.

  • High-resolution photos, often straight from a phone or camera at full size.
  • Scanned pages saved in color at a high DPI, even when the original was black text on white paper.
  • Fully embedded fonts instead of subsets of the characters used.
  • Old revisions, page thumbnails, attachments and metadata left in the file.
  • Weak or no compression on the file's internal data streams.

How to make a PDF smaller online for free

PDFToolz Compress PDF runs in your browser on any computer or phone. The PDF is processed on your device and never uploaded, and there is no account, watermark or usage limit. If the result isn't smaller than your original, the tool gives you the original back instead of a bigger file.

  • Open Compress PDF and select your PDF, or drop it onto the page.
  • Keep Recommended for most files. It re-saves large photos as JPEG at 72% quality with the longer side at most 1800 pixels, and leaves text, fonts and vector graphics untouched.
  • Pick Light if you want no quality loss at all. It only rewrites the file structure, so it saves less.
  • Pick Extreme for the smallest file. It turns every page into a JPEG image at 96 DPI, so text can no longer be selected or searched.
  • Press Compress PDF, check the before and after sizes, and press Download PDF.

Reduce a PDF to a specific size, like 200 KB or 1 MB

Job portals, visa applications and university forms often cap uploads at 100 KB, 200 KB or 1 MB. Guessing a compression level until one fits is slow. PDFToolz Compress PDF to Size takes the target and searches for the best quality that fits under it.

It tries settings that keep the text selectable first. Only if none of those fit does it save the pages as images, at the highest quality that still fits. If no setting reaches the target, it tells you and gives you the smallest file it could make. At that point, remove or split off pages and try again.

  • Open Compress PDF to Size and select your PDF.
  • Pick 100 KB, 200 KB, 500 KB or 1 MB, or press Custom and type a size such as 150 KB or 2 MB.
  • Press Compress to size and wait. The tool compresses the file several times, so large files can take a minute.
  • Download the result. The result screen says whether the text is still selectable.

How to reduce PDF file size on a Mac with Preview

Preview, the PDF viewer built into macOS, has a Reduce File Size Quartz filter. It compresses the images in the file and needs no extra software.

The filter is a one-click preset with no quality setting. Apple notes that the compressed PDF may be of lower quality than the original. Zoom in on photos and small print before you send the file, and keep the original. If the quality drops too far, use Compress PDF with the Recommended level instead.

  • Open the PDF in Preview.
  • Choose File > Export.
  • Open the Quartz Filter pop-up menu and choose Reduce File Size.
  • Give the file a new name so you keep the original, then click Save.
  • In recent macOS versions, the Export dialog also has Optimize images for screen and Save images as JPEG, which you can use instead of the Quartz filter.

How to reduce PDF file size on Windows

On Windows, the simplest route is a browser tool. PDFToolz Compress PDF works in Edge, Chrome or Firefox with nothing to install, and the file stays on your PC.

If the PDF came from Word, you can often get a smaller file by exporting it again. In Word for Windows, choose File > Save As or Save a Copy, pick PDF as the file type and set Optimize for to Minimum size (publishing online). Microsoft suggests that option when file size matters more than print quality.

If you pay for Adobe Acrobat, its Compress a PDF tool and Reduced size PDF command also work. Our guide to compressing a PDF in Adobe covers those steps and why the free Adobe Reader can't do it.

How to make a PDF smaller on iPhone, iPad or Android

On a phone, the fastest way is to open PDFToolz Compress PDF in Safari or Chrome, pick the PDF from Files or your downloads and compress it there. The work happens on the phone itself, so nothing is uploaded.

The Compress command in the iPhone Files app makes a ZIP archive, which saves little on a PDF and has to be unzipped by the recipient. For real PDF compression, the Shortcuts app has an Optimize File Size of PDF action, added in iOS and iPadOS 16. Apple describes it as compressing the images inside a PDF. Build a shortcut that takes a PDF, runs that action and saves the result, then run it from the Share sheet. Like Preview's filter, it doesn't let you set the quality.

On Android, use a browser tool the same way, or an app you already trust. Check whether an app uploads your file before using it on private documents.

Convert to grayscale, remove pages or split the file

When compression alone isn't enough, reduce what's in the file. Color takes more space than gray, and every page you drop removes its images and text.

PDFToolz Grayscale PDF renders each page as a grayscale image and rebuilds the PDF from those images. Color scans and photo-heavy files usually shrink. A text-only PDF can get bigger, because its text becomes images. Either way, text is no longer selectable afterwards. The result screen shows both sizes, so you can see which you got.

  • Delete PDF Pages: remove blank pages, cover sheets and appendices nobody asked for.
  • Extract PDF Pages: keep only the pages the recipient needs, as a new file.
  • Split PDF: cut a long file into smaller parts by page range or every few pages, so each part fits an upload or email limit.
  • Grayscale PDF: drop color from scans when color doesn't matter. Then run Compress PDF on the result if needed.

What each technique saves

Savings depend on what's inside the PDF. Image-heavy files and scans shrink a lot. Files that are mostly text are often close to their minimum size already. Lossy methods can't be undone, so always keep the original.

Why your PDF won't get smaller

If a compressor barely changes the size, the file usually has little left to remove. A text-only PDF exported from Word or Google Docs is already compact, and compressing it again saves only a few percent. Only turning pages into images, or removing pages, will shrink it further, and the first makes it worse to read and search.

Some images are left alone. PDFToolz Recommended skips small images, CMYK images, black-and-white scans and some images with masks, so a file full of those may not shrink much. A PDF that needs a password to open has to be unlocked first with Unlock PDF. For files you create yourself, the best fix is at the source. Scan text documents in grayscale or black and white at about 300 DPI instead of full color, and resize photos before you put them in a document.

Tools for the job

Frequently asked questions

How can I make a PDF file smaller?

Compress it. Open PDFToolz Compress PDF, select the file, keep the Recommended level and press Compress PDF, then download the smaller copy. It shrinks large photos and rewrites the file structure while keeping text selectable. If that isn't enough, use Extreme, convert scans to grayscale or remove pages you don't need.

How do I reduce PDF file size without losing quality?

Use lossless compression, such as the Light level in PDFToolz Compress PDF. It rewrites the file structure and recompresses data without touching any content. The saving is usually small, though. Bigger savings come from recompressing images, which lowers photo detail but leaves text and vector graphics exactly as they were.

How do I reduce the size of a PDF to email it?

Compress it first. If the email service has a limit, use Compress PDF to Size and set the target just under it. If even the smallest version is too big, split the PDF into parts with Split PDF and send them separately, or share a link to the file from cloud storage.

Why is my PDF file so large?

Usually because of images. Scanned pages are full-page pictures, and photos from phones and cameras are often embedded at full resolution. Fully embedded fonts and old revisions saved inside the file add more. Text alone rarely makes a PDF large.

How do I reduce PDF file size on a Mac?

Open the PDF in Preview, choose File > Export, set Quartz Filter to Reduce File Size and save under a new name. The filter can lower image quality, so check the result. For more control over quality, use PDFToolz Compress PDF in Safari or Chrome.

How do I make a PDF smaller on my iPhone?

Open PDFToolz Compress PDF in Safari, select the PDF from Files and compress it on the phone. You can also build a shortcut in the Shortcuts app with the Optimize File Size of PDF action, which compresses the images inside a PDF, and run it from the Share sheet.
