Convert Excel to PDF for free, without Excel or Acrobat. Open an .xlsx workbook or a CSV file, turn on the sheets you want, and download a PDF with the same number formats, bold headers, cell colours, borders, column widths and merged cells. The text in the PDF is real text, so you can search it and copy from it.

Wide sheets get a sideways page and shrink to fit its width. Long sheets continue over as many pages as they need, with the header row repeated at the top of each one. The workbook is read and the PDF is built in your browser, so budgets and payroll files are never uploaded.

How to convert Excel to PDF

    Add your Excel file

    Press Select an Excel file or drop the file onto the page. XLSX, XLSM and CSV files work. The tool converts one workbook at a time.

    Choose the sheets

    Every visible sheet is switched on. Switch off the ones you do not need. Hidden sheets are listed too and stay out of the PDF unless you switch them on. The preview beside the options shows the first pages, the page count and how far each sheet is scaled.

    Set the page

    Pick A4 or Letter. Leave Orientation on Auto to put wide sheets on a sideways page, or pick a fixed orientation. Fit to page width, Repeat the header row on every page and Print gridlines are on by default.

    Press Convert to PDF, then Download PDF. The summary shows the page count and how far a wide sheet was scaled down.

Numbers look the way Excel shows them

Each cell uses its Excel number format. Dates stored as serial numbers print as dates such as 1 Jan 2025, 0.256 with a percent format prints as 26%, and currency keeps its symbol, thousand separators, decimals and red or bracketed negatives. Short dates follow your browser's language, as they do in Excel.

Cell styles carry over

Bold and italic text, font sizes, font colours, solid fill colours, cell borders, left, centre and right alignment, top and middle alignment, wrapped text and indents are kept. Merged cells stay merged, so a title across the top stays centred.

Wide sheets fit the page

Fit to page width shrinks a sheet until all its columns fit, down to 30% of full size. If a sheet is still too wide, the remaining columns print on the next pages, in Excel's order of down, then over.

Header row on every page

The tool repeats the rows set as Print Titles in Excel. If the workbook has none, it repeats the first row that fills at least half the columns, so a report title above the table is not repeated.

Respects your print area

If a sheet has a print area set in Excel, only that area is printed. Hidden rows and columns are left out, and column widths and row heights match the workbook.

Searchable text, no watermark

Text and lines are drawn as vectors, not as a picture, so the PDF stays small and prints crisply at any zoom. In our test, a sheet of 19,000 rows and 31 columns became a 228-page PDF of 2.9 MB. There is no sign-up and no watermark.

What the Excel to PDF converter keeps and drops

The converter reads the workbook's XML directly and draws each sheet with its own layout code. It does not run Excel, so a few things a printout from Excel would include are not available.

  • The PDF keeps cell values as formatted in Excel, bold, italic, font size and colour, solid fills, borders, alignment, wrapped text, indents, merged cells, column widths, row heights, the print area and Print Titles.
  • Every font prints as Helvetica, or as Liberation Sans when a sheet has Greek, Cyrillic or Central European letters. Dashed and dotted borders print as solid lines.
  • Charts, pictures, shapes, comments, conditional formatting, pattern and gradient fills and the header and footer from Excel's page setup are not printed.
  • Characters outside Latin, Greek and Cyrillic, such as Chinese, Japanese, Korean or Arabic text, print as a question mark.

When to turn a spreadsheet into a PDF

A PDF fixes the layout, so the reader sees the same columns and page breaks you do, without Excel. It also hides the formulas and the other sheets you leave out.

  • Send an invoice or a price list that a customer cannot edit by accident.
  • Attach a monthly report or budget to an email for people who read on a phone.
  • Print a long list such as a stock count or a class roster, with the header row on every page.
  • Archive a timesheet or expense claim in a format that opens the same way in ten years.

Formulas show their saved values

An .xlsx file stores each formula together with the result Excel last calculated. The converter prints that saved result. It does not recalculate, so a formula that depends on today's date prints the value from the last time the file was saved.

Some files made by scripts, exports and online tools contain formulas with no saved result. Those cells print blank, and the summary says how many there were. Open the file in Excel, Google Sheets or LibreOffice, save it, and convert it again to fill them in.

How a large spreadsheet is split into pages

The printed range runs from the first to the last cell that holds a value, or covers the print area if the sheet has one. Empty formatted rows below the data are not printed.

Rows fill a page from top to bottom, and a row is never cut in half. Wrapped text makes its row taller when Helvetica needs more lines than Excel's Calibri did. A text cell that is too long runs on into the empty cells to its right, as it does on screen. A number too wide for its column is shrunk to fit, or printed as #### when it would get too small to read.

One conversion handles up to 60,000 rows and 3,000 pages. For bigger workbooks, convert a few sheets at a time.

Convert CSV to PDF

CSV files work the same way. The tool detects commas, semicolons, tabs and pipes as separators, reads quoted fields that contain line breaks, and opens files saved as UTF-8 or in the Windows ANSI encoding. Columns are sized to fit their text, numbers are right-aligned, and codes with a leading zero such as 01234 stay as typed.

Files that need a step first

A workbook with an open password is encrypted, and the tool cannot read it. Remove the password in Excel under File, Info, Protect Workbook, save the file and try again. A sheet protected against editing converts normally.

Old .xls files from Excel 97 to 2003, LibreOffice .ods files and Apple Numbers files are not read directly. Save them as .xlsx first, then convert.
