PDF to Excel Converter, free and private
Convert a PDF file to Excel for free. The PDF to Excel converter finds the tables on each page, puts every cell in its own row and column, and saves an .xlsx workbook that opens in Microsoft Excel, Google Sheets, LibreOffice Calc and Apple Numbers. For plain data, save the same tables as CSV instead.
Amounts like 1,250.00, (45.50) and 12.5% come out as real numbers you can sum and sort. The conversion runs in your browser, so bank statements, invoices and reports are never uploaded. It needs a PDF with selectable text, so run a scanned PDF through OCR PDF first.
How to convert a PDF file to Excel
- 1
Add your PDF
Press Select a PDF file or drop the PDF onto the page. The tool converts one document at a time.
- 2
Choose Excel or CSV and the layout
Under Save as, pick Excel (.xlsx) or CSV. One sheet per page keeps each page apart. One sheet puts every page into a single table, which suits a bank statement that runs over several pages. For CSV the same choices are called One file per page and One file.
- 3
Pick the pages
Leave All pages selected, or press Choose pages and tap the pages that hold your tables. You can also type them, as in 2-4, 7. Leave out cover pages and terms and conditions to keep them out of the spreadsheet.
- 4
Convert and download
Press Convert tables, then download the .xlsx workbook, the .csv file or a ZIP with one CSV per page. The result shows how many rows and columns were found and lists any pages that had no text.
Why use PDFToolz for this
Tables rebuilt from the page layout
Text on the same line becomes a row. Columns are found from the gaps that run down the table, so left-aligned names and right-aligned amounts each land in their own column, and empty cells stay empty.
Numbers you can calculate with
Amounts with thousand separators such as 1,234.50, 1.234,50 or 1 234 are read as numbers. So are negatives in brackets or with a minus sign, percentages and amounts with currency symbols, each with a matching Excel number format. Dates, IDs with leading zeros and long account or card numbers stay as text.
XLSX or CSV
The .xlsx workbook has one sheet per page or one sheet for the whole document, with column widths set to fit. CSV is UTF-8 with plain numbers, ready for a database, a script or an accounting import.
Only the pages you need
Convert the whole PDF or choose pages by tapping thumbnails or typing a range like 3-5, 9.
Free and private
There is no account, watermark or page limit. The PDF is read and the spreadsheet is built on your device, so your financial data never leaves it.
How the PDF to Excel converter finds tables
A PDF has no table structure. It stores each piece of text at a fixed spot on the page, and the grid lines are drawn strokes with no link to the text. The converter reads the text positions with pdf.js and rebuilds the grid from them.
Text that shares a baseline becomes one row. A gap wider than a normal word space starts a new cell. Columns are then found across all the rows. Cells that overlap horizontally belong to the same column. A header that spans two columns goes in the first one, and the cells are not merged. Titles and notes above the table go into column A.
- It works best on bank and card statements, invoices, price lists, financial reports, timesheets and data exports saved as PDF.
- Rows, columns, empty cells, the text of every cell and numbers as numbers are kept.
- Cell borders, shading, fonts, merged cells and charts are not kept.
Scanned PDF to Excel needs OCR first
A scanned PDF or one made from phone photos holds pictures of pages with no text, so the converter has nothing to read. If no chosen page has text, the tool stops and asks you to run OCR PDF first. If only some pages are scans, the spreadsheet is still made and the result lists the pages that had no text.
OCR PDF reads the words on each page and adds a hidden text layer. It also runs in your browser. Convert the OCR result here afterwards. Check the numbers against the original, because OCR can misread a digit on a blurry scan.
One sheet per page or one sheet for everything
One sheet per page names the sheets Page 1, Page 2 and so on, and finds the columns of each page on its own. Pick it when the pages hold different tables, such as a report with a summary on page 1 and details after it.
One sheet puts every chosen page into a single table and lines the columns up across all of them. Pick it for long statements and ledgers, then filter out the repeated header rows in Excel. For CSV, One file per page saves a separate .csv file for each page, packed in a ZIP when there are several.
Tips for a cleaner spreadsheet
Choose only the pages with tables, so letterheads and small print stay out of your rows. If a cell's text wraps onto two lines in the PDF, each line becomes its own row. Join them in Excel where needed.
Tables set very tightly, with columns almost touching, can come out with two columns merged into one. Excel's Text to Columns feature splits them again. If the PDF asks for a password to open, remove it with Unlock PDF first, using the password you know.
Frequently asked questions
Add the PDF, choose Excel (.xlsx), pick the pages if you only need some, and press Convert tables. Then press Download XLSX and open the file in Excel or Google Sheets.
It is free, with no sign-up, watermark or page limit. The PDF is read and the spreadsheet is built in your browser, so nothing is uploaded.
Yes. Amounts with thousand separators, brackets for negatives, minus signs, percent signs and currency symbols are saved as numbers with a matching number format, so SUM and sorting work straight away. Numbers with leading zeros and long account numbers stay as text, so no digit is lost.
Not directly. A scan is a picture with no text to read. Run OCR PDF first to add a text layer, then convert the result to Excel here.
Choose One sheet so every page lands in a single table, pick the pages with transactions and press Convert tables. Dates and descriptions stay as text and the amounts become numbers. Filter out the repeated header rows afterwards.
Pick XLSX to open the tables in Excel or Google Sheets with number formats and column widths set. Pick CSV to import the data into accounting software, a database or a script.
No table columns were found. Either the page holds running text instead of a table, or it is a scan. Run OCR PDF on scans first. For text, PDF to Word or PDF to Text is a better fit.
