Word formatting carried over

Paragraph and character styles from the document are applied. That covers headings, fonts, sizes, colours, bold, italic, underline, strikethrough, highlighting, superscript, alignment, indents, line spacing and the space before and after paragraphs.

Lists and tables

Bulleted and numbered lists keep their markers and nesting, such as 1., a) and i. Tables keep column widths, borders, cell shading and merged cells. A table row that would cross a page break moves to the next page whole, unless the row is taller than a page.

Pages like the original

The page size, orientation and margins come from the document, so an A4 file gives an A4 PDF and a Letter file gives a Letter PDF. Page breaks and section breaks start a new page, and a heading stays on the same page as the line after it.

Headers, footers and page numbers

The document's header and footer are drawn on every page, with a separate first-page version when the document has one. Page number and page count fields are filled in, so a footer that says Page 2 of 9 stays correct. A header taller than the top margin pushes the text down, as it does in Word.

Searchable text and working links

Each page is drawn at about 192 DPI with an invisible text layer on top, so you can search the PDF and copy its text. Hyperlinks to websites and email addresses stay clickable.

Your document stays on your device

The .docx is read and the PDF is built on your device. There is no upload, no account and no watermark. Nothing in the file can run code, because macros are ignored and the pages are laid out in a sandbox.

What the Word to PDF converter keeps and what it changes

The tool reads the parts of a .docx directly. It does not open Microsoft Word, so the PDF is close to what Word shows but not identical. Here is what to expect:

  • Kept: text, paragraph and character styles, fonts, colours, lists, tables with merged cells, PNG, JPEG, GIF and BMP pictures, hyperlinks, page and section breaks, headers, footers and page numbers.
  • Moved: footnotes and endnotes are listed after the last paragraph, not at the bottom of each page. Text boxes appear below the paragraph they are attached to. Pictures that float beside text sit at the left or right edge of the paragraph, not at their exact spot.
  • Not shown: EMF and WMF pictures, charts, SmartArt, drawn shapes, comments and linked pictures. The result lists how many pictures, charts and shapes were left out.
  • Changed: every page uses the paper size and margins of the document's last section, so a file that mixes portrait and landscape sections comes out in one orientation. Table header rows are not repeated at the top of each new page.
  • Tracked changes show the final version. Insertions are kept and deletions are removed. Hidden text is left out.

Fonts and line breaks

The PDF uses the fonts installed on your computer. If a font from the document is missing, the closest match is used. Calibri falls back to Carlito, Cambria to Caladea and Arial to Liberation Sans when those are installed, otherwise to a similar sans-serif or serif font. A different font can move line breaks, so a page may end a line or two earlier or later than in Word.

Multiple newspaper-style columns are laid out as one column. Custom tab stops, such as right-aligned tabs and dot leaders in a table of contents, fall back to the document's default tab spacing. Table styles that colour the header row or every other row are not applied, but borders and shading set on the cells are.

Legacy .doc and password-protected files

Files ending in .doc use the old binary Word format from before 2007, which this tool cannot read. Open the file in Word, Pages, LibreOffice or Google Docs and save it as .docx, then convert the new file here.

A Word file with an open password is encrypted, so it can't be read without Word. In Word for Windows, remove it under File, Info, Protect Document, save the file and try again. Files that only restrict editing convert as normal.

When to use Word's own Save as PDF

If Microsoft Word is installed, File, Save As, PDF gives an exact copy of the layout with vector text. This converter is for the times you don't have Word at hand, such as on a shared computer, a Chromebook or a work laptop where you can't install software, or when you'd rather not upload a contract or CV to a conversion website.

The PDF this tool makes stores each page as an image with a text layer. That keeps the look identical in every PDF reader, but the file is larger than a PDF exported from Word and the text is not editable. To make the result smaller, run it through Compress PDF.
